When to Clear the Database and Reload

Overview

We use the Sybase SQL Anywhere database technology which Intuit also uses for QuickBooks. It has a reputation of being a very robust, high-performance product that maintains strict levels of data integrity.


However, there are times where the data becomes corrupted inside of QQube because of faulty synch operations, corruption in the QuickBooks database file, or QuickBooks data and preference changes.


The only way to clear the QQube database and reload from scratch is to use BOTH OPTIONS for the "Run All / Clear all data on synch start" option in the QQube Configuration Tool.



On larger QuickBooks files this can be painful because of the limitations of the Intuit Software Development Kit (SDK), but data accuracy overrides all concerns.


Version 10 however, makes this less painful, as it has the ability to load date from a certain beginning time period.


Issues Which Require a Complete Clear and Reload


These issues require the complete clear and reload - without exception.

  • QuickBooks year upgrade. (that is from 2023 to 2024; upgrading from QuickBooks Release 3 to Release 4 does not require a reload)
  • QuickBooks file is rebuilt.
  • Merging Lists:
    • accounts
    • items
    • customers.
  • Custom Field name changes.
  • Manual abort of the synch process from the QQube Configuration Tool.
  • Abnormal interruption of the synch process which can occur in the following circumstances:
    • QuickBooks crashed
    • Somebody logged off the user where the synch was taking place. 
    • Somebody opened up a second instance of QuickBooks while logged into the user where the synch was taking place
    • A backup that affects QuickBooks kicked off in the middle of the synch.
    • Another 3rd party application was attempting to communicate with QuickBooks at the same time the synch was taking place - under the same machine user.
    • QuickBooks corruption
  • Unexplained data inconsistencies after the data has been previously accurate.
  • Request from a CLEARIFY engineering.
