Create Connection Users

Overview


The regular QuickBooks User you create for unattended logins will only use a QuickBooks license when it communicates with QQube to extract the data.


Users have roles and FULL permissions that will allow QQube to communicate with QuickBooks and extract the necessary data you choose in the QQube Configuration Tool.


  1. QuickBooks User. You will create a regular QuickBooks User named QQube which will have complete unrestricted access to the QuickBooks data. This pertains to all flavors of QuickBooks - Pro, Premier, and Enterprise.
  2. Intuit User Account (when required by Intuit).  In certain instances - where you are using Intuit connected services such as payroll, merchant services, etc. - Intuit will require you to create an additional Intuit user account.  The user and email must be unique and not used by any other user in the company file. If you are aggregating multiple company files in QQube, the user and email must also be unique among each company file.
  3. Custom Reporting User (Enterprise Solutions Only). You will create an an additional Custom Reporting User, also called QQube, and also with complete unrestricted access,


Step [1]

You will setup a QuickBooks user called "QQube".  The QQube Configuration Tool will utilize this user to communicate with each file, grab the data, and then shut it down automatically.  Having a specific user for this purpose eliminates potential problems such as when the same user attempts to login while it is already connected. 


Nobody else should login as this user for any reason!

You may, in the next step, notice that Time Tracking is not present.  Because of a bug in the Intuit Software Development Kit, it is necessary to go into Edit>Preferences>Time & Expenses and answer 'Yes" to 'Do you track time?" - even though you may not be using time tracking.

For QuickBooks Enterprise and Pro/Premier

Intuit may require a special Intuit account when setting up the QQube user.  It is necessary if you are using an Intuit service that can use:

  •     Employee and Company Social Security Number
  •     Company Bank Details (Routing Number, Account Number)
  •     Accounts with bank or credit card numbers
  •     Customers with CC numbers
  •     Vendors with Tax ID


NOTE:

  • You cannot use the same Intuit special account you used for your admin account or other accounts
  • You can only use this special Intuit account for this QuickBooks file.  If you are aggregating multiple QuickBooks files in QQube, then every file will have a unique special Intuit account.
  • You will NOT NEED to login every 90 days to change the password on this special account since it is only used to automatically login to QuickBooks.

Setup a Custom Reporting User.  Beginning with QuickBooks Enterprise 2011, Intuit created the ability to extract some data using a more direct link to the QuickBooks database, with certain limitations.  QQube takes advantage of these for some operations to speed up the data extraction process.  Learn more about the synch and extraction process.
